Position Summary:

The Executive Assistant interacts in a very positive, courteous, and friendly manner with guests, residents, and employees of the community in a variety of ways. The Executive Assistant will be primarily responsible for all projects assigned by the Executive Director. This position is responsible and exposed to highly confidential information; therefore, a very high degree of professionalism is expected with an ability to handle any inquiries diplomatically.

Job Requirements

Essential Duties and Responsibilities:

The following duties are normal for this position. This list is not to be construed as exclusive or all inclusive.

• Manage resident storage units and parking spaces

• Direct contact for residents that have issues

• Telephone system manager- VM box setup; maintain current staff displays

• Coordinates schedules and makes appointments for Executive Director

• Assist employees with minor computer issues- determine if IT needs to be contacted

• Organizes and maintains file system and files correspondence and other records.

• Arranges and coordinates travel schedules and reservations occasionally

• Coordinates and arranges meetings, prepares presentations for miscellaneous meetings.

• Prepares outgoing mail and correspondence, including e-mail and faxes.

• Organizes, coordinates and assists in planning of special events, including weekend events.

• Produces regularly scheduled reports from marketing database on a weekly base for Executive Director

• Types, assembles, copies, scans, file and otherwise processes data required by the community in an accurate and timely manner

• Assists in implementing public relations programs when needed

• Orders employee and resident Name Badges, Business Cards, & Shirt Orders

• Attending to Resident needs and issues as they arise, communicating with appropriate departments to ensure a timely response/resolution

• Follow up on resident issues with Resident to ensure customer satisfaction

• Support a friendly, hospitable and welcoming environment for all residents and their families upon their arrival at Community

• Support a friendly, team-spirited working environment with employees.

• Guide and direct employees who need to access Administration for Payroll or HR issues to appropriate

individuals who can resolve their concerns or issues; maintain confidentiality of Employee information

• Maintain confidentiality of Executive Director files and reports

Prioritize work and maintain a professional image

• Attend in-service classes and staff meetings, as required.

• Dependable and able to meet schedule requirements (attendance and punctuality).

• Other duties as assigned by Supervisor.

Supervisory Responsibilities:

• The position falls under the direct supervision of the Executive Director but is expected to perform

independently and exercise good judgment. The position does not assist with the supervision, direction,

oversight, direction, and evaluation of the work of other employees.

Qualifications: To perform this  job successfully, an individual must be able to perform each essential duty satisfactorily.

The requirements listed below are representative of the knowledge, skills, and abilities required.

Educational Requirements and Experience:

• High school diploma or general education degree (GED) preferred and;

• Up to three years related experience and/or training; or equivalent combination of education and experience.

Knowledge, Skills and Abilities:

• Ability to read and write, follow written and oral instructions and communicate effectively in English. Ability to

work with the elderly in a courteous and friendly manner, demonstrating patience and compassion. Ability to

perform duties with consideration for residents’ rights at all times and demonstrate integrity and discretion in

the care of residents and in handling their health information. Excellent interpersonal, organizational, and time management skills. Attention to detail and ability to multi-task. Computer literate (MS Word, Excel,

PowerPoint, etc.). Punctual and Flexible.

Technical Skills:

• Computer literate with good organizational skills.

Physical/Sensory:

• On a daily basis, throughout the workday: Must be capable of sitting, standing, walking, climbing stairs, reaching, turning, bending, stooping, crouching and kneeling, reaching over the head, grasping with both hands, and fine manipulation. Must physically be able to lift up to 25 pounds unassisted. Must have normal eyesight or use corrective lenses to attain normal eyesight. Must have three-dimensional vision and ability to judge distances and spatial relationships so as to see objects where and as they actually are. Must be able to recognize colors. Must be able to hear and distinguish between normal tones and be able to perceive the nature of sounds. Must be able to exchange ideas by means of the spoken word as well as engage in activities to convey detailed or spoken instructions to other workers accurately, loudly, and/or quickly.

Environmental Adaptability and Safety:

• Must have normal sense of touch and smell. Must be able to work in a in well-lighted, well-ventilated building. Must be able to tolerate occasional exposure to dust, fumes, odors, water, etc., as well as some noise. Subject to frequent interruptions. Subject to hostile or emotionally upset individuals. Must be willing to work, when necessary, beyond normal working hours and on weekends, as well as in other positions as necessary. The position includes minimal exposure to some risk to physical and/or mental health and safety (i.e., physical assault, communicable disease, etc.).
